Privacy notice

How Port Pallets handles the information you send through the enquiry form, how long it is kept and who can see it.

Who the data controller is

The controller is Palletmove Limited, a company registered in England and Wales under number 10370260, VAT GB 252 430 534. Its registered office is 21/23 East Street, Fareham, England, PO16 0BZ and its trading office is Itchen Business Park, Kent Road, Southampton, Hampshire, SO17 2LJ. Port Pallets is a trading style of that company. Data requests and privacy questions can be sent to alex@palletmove.co.uk, by telephone on 0330 107 0944 or 023 8017 1048, by post to the registered office, or through the enquiry form.

What we collect

Most of what we hold is simply what you type into the enquiry form: company, name, email address, telephone number, postcode, and the details of the pallets and movement you are asking about.

Alongside that, a small amount of technical information is recorded automatically so the form works reliably: the page the enquiry was sent from, the page you first arrived on, the referring website if your browser sends one, any campaign tags in the web address, a reference number, the wording of the notice you agreed to, the time the enquiry was received, a one-off submission identifier that stops a double click creating two enquiries, and the status of the internal alert we send ourselves about it. We do not store your IP address or set any tracking identifier as part of this.

We do not ask for, and you should not send us, any special category information, payment card details or information about identifiable individuals other than yourself.

Why we hold it

To assess and respond to your enquiry, and to keep a record of enquiries received. The lawful basis is our legitimate interest in responding to business enquiries made to us, and where relevant taking steps at your request before entering into a contract.

Where it is stored and who can see it

This website is hosted by Lovable Cloud, and enquiries are written to its managed cloud database. Access is restricted to server-side processes and authorised internal staff. Enquiry records are not readable from the public website, cannot be listed or retrieved by visitors, and are not exposed through any public interface. There is no public administration area on this site.

Once the enquiry has been saved, an internal alert containing your enquiry is emailed to authorised Palletmove staff so it can be picked up quickly. That email is sent through our email delivery provider, Resend, which handles the message on our behalf and keeps its own sending records. No marketing list, advertising platform or CRM system receives your enquiry — no CRM is connected. If that changes, this notice will be updated before the integration goes live.

How long we keep it

For enquiries that do not become orders, our policy is to review the enquiry 12 months after the last meaningful contact and delete personal information that is no longer needed. This applies to the website enquiry record and enquiry emails held by us. If we need to retain information longer for an ongoing matter, a legal obligation or a dispute, we record the reason and a further review date. Records relating to orders, invoices and other accounting or legal matters are retained separately for the applicable business and legal requirements. Retention reviews and deletion are handled manually; this website does not automatically delete enquiries.

Analytics and cookies

This site does not set analytics or advertising cookies unless you consent. No analytics provider is currently active. If analytics are added in future they will only load after you accept. See the cookie notice for detail. We do not send personal information to any analytics system.

Your rights

Under UK data protection law you can ask us for a copy of the personal information we hold about you, ask us to correct anything inaccurate, ask us to delete it, and ask us to restrict how we use it. Where portability applies, you can ask for your information in a machine-readable form. Some of these rights have conditions and exceptions, so we cannot promise every request will be met in full — we will always explain our reasoning. Write to alex@palletmove.co.uk to exercise any of them.

Your right to object

You have the right to object to our use of your personal information where we rely on legitimate interests as our lawful basis. That includes the way we handle and store the enquiries submitted through this website. If you object, we will stop using your information for that purpose unless we can show compelling legitimate grounds that override your interests, or we need it to establish, exercise or defend legal claims. You can also object at any time, and without giving a reason, to your information being used for direct marketing; if you do, we will stop using it for that purpose.

To object, write to alex@palletmove.co.uk or to Palletmove Limited, 21/23 East Street, Fareham, England, PO16 0BZ. Tell us what you object to and we will respond explaining what we have done and why.

Complaints

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint/.

What this notice deliberately does not say

It covers only what this website actually does today: an enquiry form that saves to a managed database and then emails an internal alert to authorised staff. It does not describe photograph retention, analytics profiling or a CRM, because none of those are in use here. Palletmove Limited is registered with the Information Commissioner’s Office under reference ZB858655; this is a registration reference only, not an endorsement or certification.
